Give an assistant character a clear role
An assistant character works from the task you describe in the conversation. Decide whether you want a brainstorming partner, a fictional coordinator, or someone who helps organize an idea into smaller parts.

Write a brief the character can respond to
Include the goal, constraints, and the format you want back. For a fictional event planner, that might be a small venue, a limited budget, and a request for three possible schedules. Ask the character to clarify missing details before producing a long answer.
A role is not an external integration. Discussing a calendar or an email in chat does not, by itself, book an appointment or send a message from your account.
Build the working style into the profile
Use the introduction to describe the assistant's role. Put recurring preferences, such as concise replies or one question at a time, in the background and dialogue style. The greeting can ask what you are trying to accomplish today.
Keep passwords, financial details, and private account access out of the fictional profile. Test the character with a small task, then adjust any instruction that produces replies you did not intend.
